Every member in good standing (dues are paid) of Service 12 is given a number-code to access the restrooms and meeting room in the clubhouse located on 128 Galleon Loop. There are responsibilities that come with the privilege of using Service 12 facilities. This basically means that you agree to leave the premises clean and in good repair. You also agree not to run up our utility bills. Please turn off lights and heat, and limit your water use.
Every time you enter your key-code, you agree to

Upon entrance, your key-code is recorded into a computerized system. You are responsible for everyone who uses your code, whether it is a guest, family member, acquaintance or child. You need to supervise whoever uses your code and please be cautious about who you give you code to. Also note that if you sponsor an activity, party or event you are personally responsible for any problems created by whoever attends.
IF THE FACILITIES ARE DAMAGED, DIRTIED OR OTHERWISE MISUSED BY ANYONE USING YOUR CODE; SERVICE 12 HAS THE RIGHT TO SHUT OFF YOUR KEY CODE.
SERVICE 12 GUIDELINES FOR DISCONNECTING CLUBHOUSE KEY CODES
The following are guidelines Service 12 will follow to cut off a key-code. The purpose of these guidelines is to maintain fairness and consistency for all members.
1st Offense: You will be sent a written warning and description of the infraction. You are encouraged to reply to this warning by taking the proper steps to solve the problem and let us know what those steps were.
2nd Offense: A second written warning is given, accompanied by 30 days suspension of your key code. Again, we encourage a reply to keep the lines of communication open.
3rd Offense: The key code will be cut off for six months. A written notice will be sent along with the date of when the code can be reinstalled. You may also be given a bill for cleaning and/or repairs which you will need to pay before your key code can be reinstated.
Repeat Offenses: Key code will be permanently disconnected. (Copies of warnings are kept on file to track infractions).
Exceptions: There are situations where the key code can be immediately disconnected without advance written warning, specifically in the case of vandalism or other serious infractions. In these cases, the offender will be notified afterwards in writing that their code has been cut off and the reason why. Deliberate vandalism will be reported to the police.
We reserve the right to exercise flexibility in administering these rules depending on the seriousness of the infraction, leaving a light on is not as serious as leaving the shower room filthy. Also, we will take into consideration the degree of cooperation by the offending party.
Authorization: The decision to write a warning and/or to disconnect a key code can be made by the Clubhouse Manager, appointed by the Board, or by a Board member. In each case the entire Board will be informed of the action in advance via email. This is to prevent a unilateral action by just one person.
It is our experience that most problems are solved after the first warning. People are often not aware they were creating a problem or that a child or guest was leaving a mess and they are glad to be informed. They resolve the issue and the problem is solved. This is the best and most common resolution.

Prevent misuse of your key code:
1. If someone has your key code and you don’t want them to have it, apply for a new key code.
2. Make sure the door is closed and latched every time you leave so another person cannot enter on your code.
3. If you enter the room using your code and you leave while another member is still inside, lock out your code and have them enter theirs. This will make them the responsible party.
4. If you enter a restroom or meeting room and find a mess left by the previous user, immediately report the problem using the phone number posted on the wall so you will not be blamed for the problem.
Unpaid Dues: Service 12 annual dues are payable each May 31st, if the dues are not paid in full by the Annual Member meeting in mid-June, your key code will be disconnected until your dues are paid in full.
Keep in mind that this is your facility, owned by you and supported by your dues. To keep expenses low we do not have an on-call or daily janitor, cleaning and toilet paper restocking is done weekly in the off season and biweekly in summer months . Clubhouse and bathroom maintenance is done by Service 12 volunteers. Please help to protect our investment.
